The best AI software for business is not one product but one per job. For writing, research and meeting notes, a team assistant such as Microsoft 365 Copilot, Claude or Gemini in Google Workspace is enough, at about $20 per user per month. For sales and service, the AI already built into your CRM is usually the better buy, because it works on your customer records. For orders, invoices and stock, the AI inside your ERP is the only one that can act on the transactions, and the major ERP vendors now include their assistant in the licence and charge only for agents.
Most rankings for this search come from software vendors that put their own tools first. We are an independent ERP comparison and sell none of the products below. This page compares them on four points that decide whether they are worth paying for: what the AI does, what data it can see, how it is priced, and what it costs a real team. Prices and features come from each vendor's own pages, read on 29 October 2026. Why AI in the system of record matters most, and how the three layers of AI business software differ, is explained in our guide to AI business software.
💡 Key Takeaway
Pick the AI that sits where the work happens. An assistant helps people write. The AI in your CRM or ERP works on your records, and it often costs nothing extra on top of the licence you already pay.
Which AI software for business is worth paying for?
The short list below sorts the products by the job they do, not by brand. Each one is a strong choice for its job and a weak one outside it.
| Product | Best for | Sees | Price (list, annual billing) |
|---|---|---|---|
| Microsoft 365 Copilot Business | Teams on Outlook, Word, Excel and Teams | Your Microsoft 365 mail, files and meetings | $21 per user per month add-on (Microsoft) |
| Claude Team | Writing, analysis, long documents | What users upload or connect | $20 per standard seat per month, 2 to 150 seats (Anthropic) |
| Gemini in Google Workspace | Teams on Gmail, Docs and Sheets | Your Workspace mail and files | Included from Business Standard (Google) |
| ChatGPT Business | General assistant for mixed tool stacks | What users upload or connect | Not quoted: the vendor's pricing page refused our retrieval |
| Salesforce Agentforce | Sales and service teams on Salesforce | CRM records | From $2 per conversation or $125 per user per month (Salesforce) |
| HubSpot Breeze agents | Marketing and sales teams on HubSpot | CRM records | Consumes HubSpot Credits (HubSpot) |
| Copilot in Business Central | SMBs running Business Central | Orders, stock, ledger within user rights | Included in the licence (Microsoft Learn) |
| Ask Oracle in NetSuite | Mid-sized firms on NetSuite | NetSuite records | 1,000 AI Units per user per month, pooled (Oracle) |
| Odoo AI | Small firms on Odoo | Odoo records, read and draft | Part of Odoo (Odoo docs) |
All prices per user or per seat and month, read on 29 October 2026. Google shows Workspace prices by location and returned none to our check, so we name the plan, not a price. Microsoft offers Copilot Business at $18 between 1 July and 31 December 2026 for the first year.
Which AI assistant should a team buy?
The one that matches the office suite the team already uses. An assistant is only as useful as the files and mail it can reach, and each vendor connects its own suite best.
- Microsoft 365 Copilot Business works inside Outlook, Word, Excel, PowerPoint and Teams and reads the user's Microsoft 365 data. It costs $21 per user per month on an annual plan or $25.2 billed monthly (Microsoft). Copilot in Business Central is a separate product: Microsoft states there is currently no direct connection between the two (Microsoft Learn).
- Gemini in Google Workspace is the equivalent for Gmail and Docs. Gemini in Docs, Sheets, Slides, Drive and Meet comes with Business Standard and above; Business Starter has Gemini in Gmail only (Google).
- Claude Team is independent of the office suite. A standard seat costs $20 per month billed annually or $25 monthly, for teams of 2 to 150 (Anthropic). It suits teams that write, analyse contracts or work through long documents.
- ChatGPT Business plays the same role for teams that already use ChatGPT. We do not quote its price because the vendor's pricing page refused our retrieval on 29 October 2026; check it directly.
None of the four acts on your orders or your ledger. They see what users paste, upload or connect. That is enough for writing and research and a good reason not to expect them to post an invoice.
Which AI is already inside your CRM?
If your sales or service team works in a CRM, its built-in AI is usually the next step, because it reads the customer history, open deals and tickets without copying anything into a chatbot. Two pricing models dominate.
| CRM | AI | How it is priced |
|---|---|---|
| Salesforce | Agentforce | $500 per 100,000 Flex Credits with 20 credits per standard action (about $0.10 per action), or $2 per conversation, or add-ons at $125 per user per month with unmetered use for employees |
| HubSpot | Breeze Assistant and agents | Agent Hub included in Starter, Professional and Enterprise; custom agents consume HubSpot Credits, bought in packs or pay as you go |
Sources: Salesforce Agentforce pricing, HubSpot AI, read on 29 October 2026. HubSpot publishes the credit price in its product catalogue, not on the AI page.
The pattern is the same as in ERP: a basic assistant in the licence, a meter for agents. Before you switch one on, ask what one run costs and who approves the result.
Which ERP has the most useful built-in AI?
The one you run, provided it is the cloud edition. Every major ERP vendor now ships an assistant, and for a company that already has an ERP that assistant is the cheapest AI it can add: it is included and it already knows the data.
| ERP | Assistant | What the vendor documents |
|---|---|---|
| Dynamics 365 Business Central | Copilot | Included at no extra cost, Business Central online only; inherits the user's permissions; fair-use policies, quotas or pricing "might be introduced later" (Microsoft Learn) |
| Oracle NetSuite | Ask Oracle | 1,000 AI Units per General Access user per month in a shared pool that expires with the term; Ask Oracle draws from it (Oracle) |
| SAP S/4HANA Cloud | Joule | Joule Base at no additional cost with a qualifying SAP cloud subscription; 0.02 AI Units per agent action in 2026 (SAP Learning) |
| Odoo | Ask AI | "The standard Ask AI agent cannot make changes to the database"; custom agents act through assigned topics (Odoo docs) |
| Sage Intacct | Sage Copilot | Finance Intelligence agent as Early Adopter in the US, UK and Canada since release 2026 R1 of 13 February 2026 (release notes) |
What each of these can do in production, and what is still roadmap, is in our assessment of AI in ERP. What their agents cost per action is worked out in ERP AI agent pricing. If you have no ERP yet, the AI question comes second: the independent ERP software ranking shows which system fits which company profile.
Same model, different data
Many of these assistants use language models from the same few providers. What makes one more useful than another is the data it can reach and the actions it is allowed to take, not the chatbot window.
What does AI cost a 25-person company per year?
About $6,300 in total for one assistant seat per person at list price, against $7,500 to $120,000 for the ERP licence those people work in, depending on the system. We computed both from the same per-user basis: the assistant list prices above and the ERP licence ranges in our pricing data, for 25 users over twelve months.
| Per year | |
|---|---|
| Microsoft 365 Copilot Business, 25 seats | $6,300 |
| Claude Team (standard), 25 seats | $6,000 |
| Odoo licence, 25 users: $7,500 to $13,500 | $10,500 |
| Business Central licence, 25 users: $24,000 to $33,000 | $28,500 |
| NetSuite licence, 25 users: $29,700 to $45,000 | $37,350 |
| SAP Business One licence, 25 users: $33,000 to $65,700 | $49,350 |
| Sage Intacct licence, 25 users: $60,000 to $120,000 | $90,000 |
Source: ERP Pilot calculation on 29 October 2026. Assistants: Microsoft ($21) and Anthropic ($20) per user per month, annual billing. ERP licences: per-user range from the ERP Pilot pricing data (prices checked 7 September 2026, 18 October 2026 and 21 October 2026) × 25 users × 12. ERP bars and values show the midpoint of each range. Licence only: implementation, which usually costs more, is not included.
Two things follow. First, the AI seat is not the expensive part. The ERP licence is a multiple of it for every system above, and the implementation project, which the chart leaves out, is larger again; our breakdown of ERP implementation costs covers that line. Second, the assistant that ships inside the ERP costs nothing on top in this comparison, which makes it the obvious first AI for finance and operations staff who spend their day in that system.
How large is an AI seat next to your ERP licence?
From 5% to 84% of the licence, depending on the ERP. We divided the cost of one Copilot Business seat per ERP user by the annual ERP licence for the same users. Because both sides are priced per user, the share does not change with company size.
| Added cost | |
|---|---|
| Odoo | 47% to 84% |
| Business Central | 19% to 26% |
| NetSuite | 14% to 21% |
| SAP Business One | 10% to 19% |
| Sage Intacct | 5% to 11% |
Source: ERP Pilot calculation on 29 October 2026: $21 per user per month divided by the ERP's per-user licence range from the ERP Pilot pricing data. Lower share at the top of the licence range, higher share at the bottom. List prices; negotiated discounts change both sides.
On an inexpensive ERP such as Odoo, an assistant seat for everyone adds up to 84% to the software bill at the low end of the range. On Business Central it adds 19% to 26%, on Sage Intacct 5% to 11%. The cheaper the ERP, the more it pays to start with the AI included in it and buy assistant seats only for the people who write all day. The per-user figures behind these ranges are on the Odoo pricing page and the Business Central pricing page.
Seats for everyone is rarely the right number
Not every ERP user needs an assistant. Warehouse and production staff who book in the ERP all day get more from its built-in AI than from a writing assistant. Price the seats for the roles that will use them, then compare.
Which AI software fits a small business?
For a small business the order matters more than the brand. The table sorts the choice by the situation the company is in.
| Situation | Start with | Why |
|---|---|---|
| Up to 20 people, no ERP, office suite in place | The assistant of your office suite | Lowest cost per person, no data migration, useful from day one |
| Customer work runs in a CRM | The AI in the CRM | Works on deal and ticket history; price the meter before switching on agents |
| Invoices, orders and stock in spreadsheets | An ERP selection, AI second | No AI can act reliably on data spread across files |
| ERP in the cloud already | The ERP's own assistant | Included in the licence and already permission-aware |
| ERP on premises | An assistant for office work; plan the cloud move | Copilot in Business Central, for example, is online only |
The last row is easy to miss. Several ERP assistants exist only in the cloud edition: Microsoft states this explicitly for Business Central (Microsoft Learn). A company on an old on-premises version gets none of the built-in AI until it moves.
How do you compare AI tools before you buy?
On five questions, asked to every vendor in writing. The answers separate useful AI from a demo.
| Question | What a good answer contains |
|---|---|
| Which of our records can the AI read, and does it respect user roles? | A statement that it inherits the user's permissions, as Microsoft documents for Business Central |
| What can it change on its own? | A list of actions per agent and an approval step you control |
| Is our data used to train models? | A contractual no-training clause, not a marketing page |
| Where are requests processed? | Region and sub-processors, which can differ from where the app is hosted |
| What is metered, and what happens when the allowance is used up? | A published price per unit, credit or conversation and a cost cap |
Then test it on your own documents. Give each shortlisted tool the same three tasks from your business, such as a supplier invoice, a customer complaint and a month-end question, and compare the results, not the slides.
💡 Key Takeaway
The best AI software for business is the one that sits on your data: an office assistant for writing, the CRM's AI for customers, the ERP's AI for transactions. At list price, a Copilot seat per ERP user adds 5% to 84% to the ERP licence, while the ERP's own assistant is included.
